Voice typing is becoming increasingly popular for jotting down ideas, sending messages, or even creating content. But voice-typed content is often not clear and polished enough, and therefore not suitable for professional or formal communication.
That’s where InstaText comes in, an editing assistant that uses advanced language technologies to improve written content. Editing dictated content is actually one of the interesting use cases our users have discovered for InstaText to create content faster and more efficiently.
The creation process is much faster and more enjoyable than typing all the time. With InstaText, we can be sure that at the end of dictation, we won’t be faced with a mountain of corrections that will take hours to correct. Instead, it’s a matter of a minute or two to correct thousands of words. Almost all grammar mistakes are gone, sentence structure is sorted out.
Paul Jenkins, Publisher: What Is InstaText (and How We Use It)
Let’s take a look at how InstaText helps you edit voice-typed content so that you can use it in professional or formal contexts while saving time and energy.
Why InstaText?
InstaText edits texts for grammar, spelling, and punctuation. But it goes even further and improves the content for clarity, flow, style, conciseness, and word choice. So if your voice-typed content contains errors due to misheard words or missing punctuation, InstaText corrects them while making your text more readable without changing your original tone of voice, style, and intent.
How to use InstaText to edit voice-typed content
With instatext, it’s pretty easy to edit your voice-typed content. You can do it in several ways:
1- You can either type your message directly into the web-based InstaText Editor using the speech recognition functions of your computer’s operating system or similar tools. You can then click on the “Edit” button to improve your text.

2- You can use the built-in voice typing function of Google Docs and similar platforms. Then you can click on the InstaText icon that appears on the screen to edit your text. You must have the InstaText browser extension installed to use this feature.

3- You can also export the improved text to Word. It is particularly useful to download your improved text as a .DOCX file with Track Changes. This way you can edit and finalise the text later. If necessary, you can even keep the original text (by rejecting all suggestions).

Note: Of course, you can also use any dictation tool and process not mentioned above to create content and then edit it as you wish with InstaText.
Tips for achieving better results
To make the most of InstaText when editing dictated content, follow these tips:
Add basic punctuation when dictating
Speech input often contains punctuation errors, resulting in long, unclear, and unstructured sentences. When speaking, add simple commands such as “period” or “comma” to structure the text better. For example, say:
I need to schedule a meeting period Let’s set it for Monday comma which is the day that suits me best period
The list of voice commands that you can use to format your article can usually be found in the “Help” section of the speech-to-text tool you are using.
Speak clearly and slowly
If you speak clearly and slowly, your dictation will be more accurate, so the output after editing will also be more accurate. Note, however, that speaking slowly does not mean that you pause frequently between the words you dictate. This is because some speech recognition tools regard pauses as periods and start a new sentence after each pause. Either take this into account or adjust it in the settings, if available.

Spell out complex words or names
When you dictate complex words or names, consider spelling them out or adding them manually to increase accuracy.
Break text into smaller chunks
To increase accuracy, consider dictating shorter sentences or breaking longer, complex ideas into smaller chunks.
Use InstaText’s customisation functions
To customise the output, we recommend using InstaText’s language settings, which allow you to adjust the level of formality of the content and choose between British and American English. You can also use InstaText’s advanced personal dictionary to prevent the words you don’t want to change from being changed during editing.

Review before editing
Before you feed your voice-typed text into InstaText, check it quickly to correct obvious errors or add missing punctuation. Especially if your message contains complex names or words, technical terms, or jargon, double-check their spelling to ensure that InstaText can optimise them correctly.

Review InstaText’s suggestions
Although InstaText’s corrections are generally accurate, we recommend that users review each suggestion and consciously accept or reject it to ensure that the final output meets their expectations.
It’s also recommended to proofread the text edited with InstaText either manually or with proofreading tools. Although InstaText checks your content for grammar, spelling, and punctuation, it is first and foremost an editor and its strength lies in editing.

“It has been incredibly liberating to not agonize over every last word, secure in the knowledge that the AI has my back and will smooth out the occasional rough edge. That freedom alone boosted my daily word counts by more than 10%, which is gold dust!”
— Matthew Siege, Writer
“Using InstaText is intuitive and simple. We use it by copying previously created texts (emails, offers, project descriptions…) and checking them for possible improvements. The main advantage is that InstaText suggests how to rewrite the whole text and automatically selects more suitable words. This allows us to get the improved text faster and easier.”
— Enya Caserman, Business Designer
“I am a translator and proofreader by profession and have tried many editing tools. It’s not an exaggeration to say that all the other apps I’ve used so far don’t come close to InstaText. It is literally innovative and revolutionary and has taken the editing game to a new level, leaving other competitors in the dust.”
— Dr. Ghodrat Hassani, Researcher in Translation Studies
